Scenario 4: Confirmed Client Registered/Started - Confirmation in Person, by Phone or Virtually

This scenario applies when the client has confirmed verbally either in person, by phone or in a virtual meeting that they have either registered in or started the course(s). 

Refer to the “Registration Checklist” to determine the appropriate process. 

Corresponding documentation should be included on the Timeline in a “General Appointment.” Additionally, an email must have been sent to the client, confirming the provider (institution), program (if applicable) and course (s) in which they have registered or started before completing the registration form. Use the appropriate Confirmation email template. 

    • If the course has a registration process, the email can confirm that the client has either registered in or started the course(s).  
    • If the course does not have a registration process, the email must confirm that the client has started the course(s).

When adding multiple registrations to a form, ensure all fields are identical, as changes will affect all courses selected.

Date Registration Confirmed

  • Enter the date the confirmation email was sent. Use the appropriate Confirmation Email Template

Registration Generated by

  • Enter your name or the name of the staff member who generated the registration and select it from the search options.

Most Applicable Method to Generate Registration          

  • Select one of the following:
    • Study options presented AND confirmed client registered/started.
    • Client Pre-Identified Program/Course - Assisted with the registration process, application, or financial aid process AND confirmed client registered/started.

  • Select the option that applies: 
    • Client 
    • Referral Partner 
    • Institution
  • Note: CN staff are not applicable for this scenario.

Contact Name 

  • This field appears only if a "referral partner or provider (institution)" confirms the information. Search and select the contact name from the options.

Method Received Confirmation

  • Select one of the following: 
    • Confirmation of Registration Received in Person
    • Confirmation of Registration Received by Phone
    • Confirmation of Registration Received Virtually

Date and Time Confirmation Email Sent

  • Enter the date and time the confirmation email was sent.

Registration Status      

  • Select the appropriate status from the drop-down menu:
    • Registered - Not Started
    • In Progress
    • Completed
    • Incomplete (etc.)

Anticipated Course Start Date

  • If you know the date when the course is starting, enter the date.

Delivered on CN Platform

  • If you're unsure whether it is delivered on one of CN's platforms select "No.
  • If you know it is delivered on one of CN's platforms, select the appropriate platform from the drop-down menu. 
  • If you select "XR," a new field labelled "XR Application Used" will appear. Select the appropriate option from this new drop-down menu.

CN Laptop

  • Select "No" if they are using their own devices.
  • Select "Yes" only if they are participating in the CN technology loan program.

CN Modem

  • Select "No" if they are using their own devices.
  • Select "Yes" only if they are participating in the CN technology loan program.

  • Enter the current date and specific time.

This section displays the information entered on the client's initial intake or study path. Make any changes applicable to this particular registration before saving. Note that any updates made to the initial intake page will not automatically transfer to the registration form.
